The 15 minute life evaluation

Do you want to become a renaissance man?  It’s important to be well rounded in the four areas of life, which we have identified as the “Four F’s”: Finance, Fitness, Family, Faith.

If you have just a couple of minutes, take out a sheet of paper and do this quick exercise.  Sit down in a quiet place where you won’t be interrupted.  Take out a clean sheet of paper, and divide into four quadrants.  Write the four keywords (finance, fitness, family,faith) in the top of each quadrant.

Now, estimate and write down how many hours per week you are current dedicating to improving that area of your life.

Second, write how many books have you read in each area in the last year.  If you are sure, use your best “guestimate”.

Third, how many courses have you taken in each area in the last year.  You will probably find this numer to be the lowest.

Fourth, assign a priority to each area in your life; use a percentage.  For example, finance 40%, family 30%, fitness 10%, faith 20%.  Of course, the number should add up to 100%.

Fifth, spend a few minutes thinking about your life, and if this is the balance you want.  Add a plus or minus sign to any area that needs adjusting.

Handling Distractions

When it comes to devising your daily schedule, remember to schedule time for unexpected interruptions that are bound to occur. When an important phone call comes up, you might have to take it. By planning for interruptions, you can keep yourself on track.

Try eliminating distractions in your life if you’re always running out of time for things. For example, it’s difficult to finish a report for your boss if your email is constantly dinging and cell phone always ringing. Turn off technology and learn to tune out distractions. You should be able to focus much better!

Do not be afraid to neglect any tasks that are not essential. If you have a busy schedule, you can eliminate anything that does not have a deadline or something that could be done by someone else. Allow people to help you with the tasks that you do not have to handle personally.

Just say no. A lot of people experience stress, for the sole reason they don’t know how to refuse a request. When you have too much to do, check your schedule. Is it possible to share your responsibilities? Think about whether a friend or family member would be willing to help you.

If you find time management challenging, try eliminating your time wasters! Examine what you go through in the course of a day, such as chatting at the water cooler, lingering at lunch or wandering around the Internet. Realize what is wasting your time and stop doing it, or save it for the end of the day once everything important has been accomplished.

Consider not wearing a watch. It sounds counter-intuitive to time management, but some people are clock watchers. They get focused on the time, to the detriment of actual time management. You need to free yourself of this to really focus. In fact, you’ll find that it’s quite liberating and effective to just get down to work without being the slave of a clock or watch.

Believe it or not, one of the best things you can do to manage your time is to take your time. By rushing through important tasks, you may make errors that force you to start over. Taking your time the first time around ensures the job is done the right way.

Prioritizing

At many moments where you are feeling overwhelmed with how much you have to do, the most effective time management tip is to actually do nothing for at least a minute. Catch your breath and let your mind clear. What is really urgent and needs done right now will reveal itself to you. The rest can wait and maybe even work itself out.

When your time management techniques are thrown off by a task that seems impossible to complete, step back and assess the problem. Are you avoiding the job because it’s difficult, or are you lacking some piece of information or expertise essential to the job? If you’re being held back by a lack of knowledge, make it a priority to seek out the missing information you require.

If you want to prevent anxiety from overwhelming you, make sure your time management strategy includes plenty of division. Lots of big tasks seem insurmountable at first glance. If you take the time to divide them up into smaller jobs, though, they become a lot more manageable! Fill your schedule with small, “bite-size” tasks, and soon you’ll be meeting your goals again.

Talk to your friends and family about how you feel you’re managing your time. If they can volunteer to pick up the kids or do your grocery shopping (for a small fee of course!), you may find that you can free up some of your time. You can even offer to do some errands for them in return.

Alert those around you of your need to concentrate. Sometimes speaking up is all that you need to do to be more effective with your time. If those around you don’t have that notice, then they won’t know to leave you alone for the time being. It’s a simple time management step that can pay big dividends.
